Terms of Service

These Terms set out the conditions for using Workers Chat (the "Service"), operated by JP.Company Inc. (the "Company").

1. Purpose of the Service

The Service is a chat tool for same-day communication and on-site onboarding support. A company representative (an "Administrator") creates a chat room for each work site, and the staff working that day (a "User") joins without creating an account, in order to check the meeting point, report arrival, share photos, and raise private questions.

The Service does not provide attendance tracking, payroll calculation, employment contracting, or proof of working hours. If records from the Service are used for such purposes, the decision to do so and the responsibility for it rest with the company using the Service.

2. Parties and Roles

The contracting party of the Service is the company that has entered into a service agreement with the Company (the "Client Company"). Users participate in the Service under the direction of the Client Company.

The Client Company is responsible for informing its own staff about how to use the Service, the applicable precautions, and the contents of these Terms and the Company's Privacy Policy. The Company does not contact the Client Company's staff individually.

Where the Client Company issues a different join link per person (an individual join link) in order to attribute posts to its own roster, the Client Company is responsible for explaining this to its own staff. The Company does not indicate on any User-facing screen that a link is an individual one.

All matters relating to working conditions, direction and supervision, compensation, safety obligations, and other labour matters between the Client Company and Users are determined between those parties. The Company is not a party to them.

3. Account Management

Administrator accounts are authenticated by email address and password. Administrators must not disclose or lend their account credentials to third parties and are responsible for managing them.

Additional Administrator accounts are created by invitation only. The Client Company should promptly remove Administrators who no longer need access due to resignation, reassignment, or similar reasons.

Users join without registering an account, using a join URL, a QR code, or a 6-digit join code. Join URLs and join codes must not be shared with anyone other than the people attending that work site.

4. Prohibited Conduct

The following conduct is prohibited when using the Service.

  • Impersonating another person, or registering false information
  • Any act that violates laws, regulations, or public order and morals
  • Defamation, discriminatory remarks, sexual remarks, intimidating behaviour, or any other harassment directed at other Users, Administrators, or third parties
  • Using the Service for purposes unrelated to the work at that site (including solicitation, advertising, or pressuring others to exchange private contact details)
  • Interfering with the operation of the Service, placing an excessive load on it, or attempting unauthorised access
  • Using or disclosing information about other Users obtained through the Service for any purpose other than the work at that site
  • Any other act that the Company reasonably determines to be comparable to the above

5. Retention and Automatic Deletion

Data in the Service is stored per work site (chat room) and automatically becomes unavailable and is deleted as follows.

  • After the scheduled end time, Users can no longer send new messages.
  • Two hours after the scheduled end time, Users can no longer view that work site.
  • Once the retention period set by the Client Company (30 days by default) has passed, a finished work site is deleted in full, including messages, photos, announcements, and participant information. This deletion is permanent and cannot be undone.

Please save any records you need before deletion. The Company cannot restore data after the retention period has passed.

6. Machine Translation

To support multilingual work sites, the Service sends the text of messages and announcements to external generative AI services for automatic translation. The recipients and the details of this handling are set out in the Company's Privacy Policy.

Machine translation output is produced automatically and its accuracy and completeness are not guaranteed. For safety-critical instructions, matters involving money, and other important communications, please do not rely on the translation alone — confirm the original text or add a verbal explanation.

7. Disclaimer

Responsibility for on-site safety management, labour management, direction and supervision, and legal compliance rests with the Client Company. The Company does not assume such responsibilities beyond its position as the provider of the Service.

The Company is not liable for damages arising from the Service being temporarily unavailable due to failures of communication lines or cloud providers, outages of external AI services, or other causes beyond the Company's reasonable control.

The Company may add to, change, suspend, or discontinue the Service. If the Service is discontinued, the Company will notify the Client Company in advance.

8. Changes to These Terms

The Company may amend these Terms when it deems it necessary. In that case, the amended contents and the effective date will be posted on this page. For significant changes, the Company will notify the Client Company in advance.

Using the Service on or after the effective date is deemed to constitute agreement to the amended Terms.

9. Governing Law and Jurisdiction

These Terms are governed by the laws of Japan. In the event of a dispute between the Company and a Client Company or a User concerning the Service, the Tokyo District Court shall have exclusive jurisdiction as the court of first instance.
